Automated Attendants

Automated Attendants

By: AccessDirect

Automated Attendants help in reducing the receptionist staff and providing quick service to a company's customers. A company can efficiently manage the traffic of incoming calls using this system. Given the huge volume of incoming calls that a typical company receives, it is very difficult to handle all the calls using a live receptionist. Automated Attendants are also commonly referred as auto attendants.

An automated attendant is an integral part of any modern PBX system. It plays a pre-recorded message for all callers with a good greeting message. It guides a caller through the various options required to connect to a particular person or department. Callers are given a list of extension numbers or names through which they can reach their concerned recipient. An automated attendant can also be programmed to direct a caller to the voice mailbox in case the recipient could not be reached. Here, one can leave messages for the concerned person. The routing to the voice mailboxes are also done in case the recipient has set his number to 'Do Not Disturb' mode.

Automated attendants can be utilized very efficiently to present a good image of a company. The welcome message that a caller receives says a lot about the company. A good auto attendant system usually provides a very easy menu system, by which the callers can get to their rightful recipient without having to choose through numerous menu options. Many sub-standard auto attendants take the callers through many menu options before actually finalizing the call. A proper configuration of the automated attendant system is therefore required to make the user interaction simpler and friendly. A quality automated attendant therefore comes as a handy tool in establishing a good customer interaction.
